Privacy policy
Last updated: October 18, 2026
AdminGuide is built to process your documents without keeping them. This policy explains what personal information we collect, why, who it is shared with, how long it is kept and how to exercise your rights.
1. Who we are
AdminGuide (Canada) operates the adminguide.ca website.
Person in charge of the protection of personal information: Hugues, founder of AdminGuide. For any question or request: confidentialite@adminguide.ca.
2. Our principles
- Your files are never stored by AdminGuide.
- We only collect what is needed to run your account and subscription.
- No advertising, no tracking cookies, no sale of information.
3. Information we collect
- Account: your email address, used to sign in with a code. It is managed by our authentication provider (Clerk). AdminGuide only keeps an account identifier, your plan (trial, 24-hour Pass or Pro), its end date and the number of trial operations left.
- Payment: payments are processed by Stripe. Your card numbers never go through AdminGuide. We only keep the Stripe customer and subscription identifiers, to activate your plan and give you access to your receipts.
- Free trial, with your consent: a fingerprint of your device, irreversibly transformed (one-way encrypted code), and a device identifier. They are only used to prevent the same device from getting several free trials.
- Usage: for each operation, the tool used, the date, and whether it was a trial operation. Never the content of your files.
- Technical data: your IP address is used in an irreversible coded form to count requests and limit abuse; these counters are erased after one day. Our host (Vercel) also keeps technical logs for a limited time.
- Cookies: only those needed to keep you signed in. No advertising or analytics cookies.
4. Your files and documents
- PDF editing (signing, forms, pages), compression, photos to PDF, conversion, comparison and building the PowerPoint file: processing happens in your browser. Your files are not sent to our servers.
- Excel extraction (photo or PDF): the file is sent to our processing provider (Anthropic, United States), analyzed in memory, then forgotten by AdminGuide. Under its terms, this provider may keep the data temporarily for security reasons, then deletes it; it does not use it to train its models.
- Excel extraction (Word): tables are read directly in your browser. Only their content is sent to our servers to build the Excel file, and it is not kept.
- PowerPoint generator: your topic, the images you attach and the slide text are sent to the same processing provider to write and edit the presentation, under the same conditions. Only English keywords are sent to Unsplash to find photos, which your browser then downloads directly from Unsplash.
- Share links: the file is encrypted in your browser (AES-256) before it is sent, and the key stays in the link, never reaching us. The encrypted file, unreadable to us, is kept in our database, then deleted after 1 hour, 24 hours or the first download, as you choose. Expired files are erased the same day at the latest. An account is needed to create a link; maximum size: 4 MB.
5. Why we use this information
- To provide the tools and manage your account, trial and subscription.
- To prevent abuse of the free trial and keep the service secure.
- To meet our legal obligations, including accounting and tax requirements.
We do not use your information for advertising and we do not sell it.
6. Providers and transfers outside Québec
- Vercel: website hosting (United States).
- Neon: account-state database (United States, Virginia).
- Clerk: sign-in and email address (United States).
- Stripe: payments, receipts and subscriptions.
- Anthropic: document processing for Excel and PowerPoint (United States).
- Unsplash: free photo library (keywords only).
To run the service, we rely on the providers below. Some information is therefore stored or processed outside Québec and Canada, mainly in the United States. These providers only receive what their role requires and are bound by their own privacy and security commitments.
7. Retention
- Account, plan and usage history: as long as your account exists; they are deleted with your account.
- Free-trial device fingerprint: when the account is deleted, the link to you is erased; only the encrypted device code is kept, with no information about you, so the same device does not get a second trial.
- Payment data: kept by Stripe for as long as tax laws require.
- Host technical logs: a limited time, for security purposes.
- Files: never kept by AdminGuide (see section 4).
8. Your rights
At any time, you can ask to access your information, correct it, delete your account, withdraw your consent (for example for the device fingerprint) or receive a copy of your information in a common format. You can also delete your account yourself, at any time, from the “My account” menu. For any other request, write to confidentialite@adminguide.ca: we reply within 30 days.
If you are not satisfied with our answer, you can file a complaint with the Commission d’accès à l’information du Québec (cai.gouv.qc.ca) or the Office of the Privacy Commissioner of Canada (priv.gc.ca).
9. Security
- Encrypted connections (HTTPS) across the whole site.
- Sign-in with a code sent by email: no password is stored.
- End-to-end encryption of share links.
- Access to data limited to what is strictly necessary.
If a confidentiality incident presents a risk of serious injury, we notify the Commission d’accès à l’information and the people concerned.
10. Minors
AdminGuide is not intended for people under 14.
11. Changes
We may update this policy, for example when we add a tool or a provider. The last update date appears at the top of the page. For any significant change, we will let you know on the site.
